The Facility & Records Management Division (FRM) provides select administrative services statewide for certain record keeping functions for the agency. Additionally FRM provides MDOT employees in the Jackson area with a safe, clean, and pleasant working environment in regard to the building in which they work. Our goal is to provide the best possible customer service while performing our duties effectively and efficiently. The Division is comprised of three areas which provide the following services:

Administration – This area is responsible for the issuance of employee identification cards and parking decals as well as provides a wide variety of office functions for the Division. The area maintains and distributes cell phones for the all the six (6) districts as well as Headquarters. The Central Mail Office is a part of this section and is responsible for the acceptance and distribution of all incoming/outgoing mail each day. The Administration area has oversight responsibilities for the MDOT Administration Building’s security staff and is charged with providing taxi service for MDOT staff on an as needed basis. This area also has oversight responsibility for the implementation and utilization of the new Administrative Procedures Act (APA) as it pertains to the filing, notice, public hearings and economic impact statements for newly adopted MDOT rules and regulations.

Building and Grounds – It is the responsibility of this area to maintain and make repairs to the buildings and grounds for the MDOT Administration Building, the Lab Building, and the Shop Complex facilities in Jackson. Maintenance of these buildings and grounds includes providing janitorial services as well as lawn services. Staff members also assist other divisions and districts with moving and storing furniture and equipment on an as needed basis.

Central Records – This area’s main responsibility is to provide file storage and retrieval for all active contracts, general information files, and Federal Highway Administration (FHWA) correspondence in hard copy form. This area is also responsible for microfilming hard copies of documents when the retention period for said documents expires. Additionally, Central Records is responsible for providing assistance to outside attorneys and others requesting to view these files.
